Home/Payroll/1099-NEC / 1099-MISC Preparation & Filing

Find The 1099s Before January Does

Contractors identified from your books, W-9s chased, and forms filed before the deadline stops being negotiable.

What The Engagement Covers

  • Vendor activity reviewed against the reporting thresholds
  • Contractors separated from corporations and other exempt payees
  • Missing W-9 forms identified and requested
  • 1099-NEC prepared for nonemployee compensation
  • 1099-MISC prepared for rent, legal payments, and other reportable categories
  • Recipient copies delivered and the IRS transmittal filed

Who Needs A Form

The common case is an unincorporated contractor paid $600 or more during the year for services. Rent paid to an individual landlord, certain legal payments, and a handful of other categories are reportable as well, and the rules differ between the NEC and MISC forms.

Payments made by credit card or through a third-party payment network are reported by the processor rather than by you, and issuing a duplicate 1099 for those creates its own problem.

Collect The W-9 First

The most reliable way to avoid a January scramble is to collect a completed W-9 before the first payment goes out, not after the year closes. A contractor who has been paid and has moved on has very little reason to return your call.

Where bookkeeping is handled here, vendors are flagged for W-9 collection through the year, so January is a review rather than an investigation.

What Clients Ask About 1099-NEC / 1099-MISC Preparation & Filing

What is the deadline?

The 1099-NEC is due to recipients and to the IRS by January 31. Other 1099 forms have their own dates, and the January date is the one that catches people.

Do I file one for an LLC?

It depends on how the LLC is taxed, which is what the W-9 tells you. A single-member LLC generally gets one; an LLC taxed as a corporation generally does not.

What if I cannot get a W-9 from someone I paid?

Request it in writing and keep the record, then file with the information you have. Backup withholding rules may apply going forward, which is another reason to collect the form up front.
